Real Estate & Property Management

The ECOSIRE Real Estate & Property Management app extends ERPNext with property and unit masters, lease contracts, scheduled rent invoicing and escalation, security deposits, utility metering, maintenance requests, and role-scoped tenant, landlord, and broker access.

It remains native to ERPNext accounting:

  • tenants are linked to Customers;
  • landlords and brokers are linked to Suppliers;
  • rent and utilities become Sales Invoices;
  • receipts use Payment Entries; and
  • deposits remain traceable liabilities until deduction or refund.

Implementation checklist​

  1. Define companies, cost centers, receivable accounts, taxes, and payment modes.
  2. Import and reconcile property, unit, Customer, Supplier, and opening-balance data before activating automated billing.
  3. Configure property/unit hierarchy and per-unit commercial defaults.
  4. Configure lease dates, billing frequency, escalation, notice, proration, and deposit rules.
  5. Map rent, service charge, parking, utility, and penalty Items.
  6. Assign tenant, landlord, broker, property, accounts, and administrator roles.
  7. Test User Permissions and portal access using non-administrator accounts.
  8. Run a complete staging billing cycle and reconcile its General Ledger impact.
  9. Back up production and record pre-migration counts before go-live.

Operational controls​

  • Review scheduled invoices before enabling automatic submission.
  • Never edit a posted invoice to correct a lease; use ERPNext's cancellation and amendment flow with the required approval.
  • Reconcile the deposit register to its liability account.
  • Link every meter reading and maintenance cost to the correct unit and company.
  • Test rent escalation at boundary dates and mid-period move-in/move-out cases.
  • Verify that each portal user can see only their own authorised records.
